Visa Information | EMIM 2027

Please carefully check if you require a Schengen visa to enter Italy for the EMIM (see further helpful information below) and apply early (8 to 12 weeks prior to the EMIM)! We will gladly issue an official visa support letter.

Please keep in mind: The visa support letter can only be issued after you have successfully registered. ESMI does not assume any financial liability for your travel or stay.

How to request a visa support letter

To request your visa support letter, please send an email to Irene at registration@esmi-insight.eu and provide the following information:

• Full Name(s) as written in your Passport
• Date of Birth: DD/MM/YYYY
• Nationality
• Passport Number
• Affiliation/Work Address
• Abstract ID and Title (if applicable)

Once verified, we will send you a signed PDF invitation letter via email. Please allow three business days for processing.

We strongly recommend booking your visa appointment and submitting your application at least 8 to 12 weeks prior to the conference. Italian consulates often experience a high volume of requests, and securing an appointment can take considerable time.

Official Visa & Entry Requirements for Italy

As a short-term conference attendee traveling to Italy, you are independently responsible for checking your individual entry requirements, preparing the necessary documentation, and obtaining a visa if required. We recommend using only official channels of the Italian Government to find all the information relevant to your citizenship and country of residence.

STEP 1: Check if you need a Visa & Get a Customized List of Documents

• Check information on Ministry of Foreign Affairs
  • What it does: An interactive tool by the Ministry of Foreign Affairs. After answering 4 simple questions, it tells you immediately if you need a visa.
  • Important for the Form: Under ‘Main purpose of the journey’, please select ‘Business’ and specify “Conference attendance: EMIM 2027” (this is the official category for attending academic and scientific conferences).
  • The Result: The portal will generate a clear checklist of all required documents (such as proof of financial means, travel insurance, and accommodation) that you must submit based on your personal situation.

STEP 2: Find Your Local Responsible Italian Consulate

• Official Directory of Italian Missions Abroad 
  • What it does: A complete, officially maintained global database listed by country.
  • How to use it: Find your country of residence in the list to get the direct link to the official website of the responsible Italian Embassy or Consulate General in your area.
  • You may need to switch language to Italian to improve performance

  • What it does: The main informational page detailing the legal rights, duties, and general conditions for foreign citizens entering and staying in Italy.
